Volunteer Policy

Like many youth sports organizations, SMFA is run entirely by volunteers. We do not have paid staff, and our (volunteer) board members can only take on so many roles. We rely heavily on the volunteer time of athlete family members and other community members to get things done.

In 2023, SMFA will be implementing a Volunteer Security Policy in order to encourage volunteer participation. 


  • The volunteer security fee is $150.00 per player.

    • Cheques should be made out to SMFA and post-dated for November 15, 2023.

      If you complete your volunteer requirement, your cheque will be returned to you.

      If you do not complete your requirement, your cheque will be cashed.

    • If you do not have a cheque, you can etransfer or leave a cash security.

      This amount will be held until the end of the season.

      If you complete your volunteer requirement, your fee will be returned to you.

      If you do not complete your requirement, your fee will not be returned.

    If you know that you do not have the time to volunteer this season, your payment of $150 can be made in advance by e-transfer to payments@shuswapminorfootball.ca, cheque to SMFA, or cash.

    All securities and payments must be received prior to gear being issued or participating in any on-field events.

    Once you have fulfilled your volunteer commitment, your cheque will be returned or destroyed. Volunteer roles can be fulfilled by any family member or friend of the player.

    Your team manager will track volunteering through the season. We would prefer to have everyone actively participating than to cash any cheques. If you are needing additional volunteer opportunities, please reach out to info@shuswapminorfootball.ca and we will find a role for you.

    In the event of a canceled registration, the volunteer security fee will be returned.

  • Any Athlete’s parent/guardian may petition the Volunteer Committee for an exception to the Volunteer Security Fee by filing an Exception Request Form.

    The Volunteer Committee will only consider the following exceptions:

    • Family situation that prevents participation in any of the available volunteer roles

    • Unforeseeable life change that prevents volunteering

    Exceptions are granted at the sole discretion of the Volunteer Committee.

    Within twenty (20) days of the Exception Request Form being submitted to SMFA, the Volunteer Committee will determine whether an exception is granted.

    In the event an exception is granted, SMFA will then have 15 days from the decision date to return the post-dated cheque or the cash fee.

    In the event a refund is denied, the family will be required to complete the volunteer services to have the Volunteer Security Fee returned.

    The decision of the Volunteer Committee is not appealable.

Full Season Roles

  • Full year commitment

    Requirement to fulfill specific duties of the role, help at events, assist with gear up and organization as needed, with a minimum of 10 hours of hands-on work outside of meetings and planning.

  • Full season commitment

    Requirement to fulfill specific duties of the role including planning practices, organizing play books, communicating with team manager as needed.

  • Full season commitment

    Requirement to fulfill specific duties of the role as assigned by the head coach, with a minimum of one practice and one game per week with hands-on help on the field.

  • Full season commitment

    Requirement to fulfill specific duties of the role, including concussion baseline testing at the beginning of the season.

    Preference of two trainers per team at games.

    Two trainers assigned per practice to cover all three teams. This job is shared by all trainers throughout the season.

    Requires first aid certificate, concussion training, police records check, ethics training.

  • Full season commitment

    Requirement to fulfill specific duties of the role including attendance, team communications, and volunteer tracking.

    Requires police records check, ethics training. Suggested concussion training.

  • Full season commitment

    - Pick up small cooler of ice before each practice

    - Pick up larger amounts of ice for game days

    - Fill water jug(s) as seasonally needed before each practice and game

    - Pick up and prepare fruit to be available for each game

    (No financial requirement to pay for the above items.)

    - Coordinate with team managers for away games

  • Full season commitment for home games

    One game commissioner per team.

    * If unavailable for all home games, please reach out about shared options

    Can also take on the game clock position if needed

    Online ethics training

Game Day Roles

  • Per home game. 3 people per game.

    This job requires you to be able to stand for the entire duration of the game. You will hold the chains/markers where the refs tell you to.

  • Home games only. 2 hour shift. 2 people per shift.

    *This can be done during your athlete’s game or during another division’s game.

  • Per home game. 1 person per game day

    As field equipment is cleared and brought to the storage bin, it is your job to ensure that items are relatively free of grass and water, put them in the appropriate spot, do a quick sweep of the bin, and make sure that it is ready for the next day.

  • Per home game. Assists the game commissioner.

    Could also be taken care of by the game commissioner.

  • Per home game day. First game of the day only. 3 people per game

  • Home games only. Last game of the day only.
    4 people per game

  • Per home game. 2 people per game required.

    Must be 19+ years old

Practice Day Roles

  • Per practice. 1 person per practice

    As field equipment is cleared and brought to the storage bin, it is your job to ensure that items are relatively free of grass and water, put them in the appropriate spot, do a quick sweep of the bin, and make sure that it is ready for the next day.

  • Per practice. Multiple shifts available as noted by head coaches.

    Hands-on help on the field holding tackling bags, catching/passing balls, leading warm up and cool down, etc.

    Preference for completion of concussion training, ethics training. Police records check is required.

  • Per practice. 2 people per team

    When the team is finished with their equipment for the evening, clear it from the field and bring it to the storage container for the bin coordinator.

As other roles and event information become available, they will be added to this list. We will have pre-season opportunities such as fundraising, info booth at the mall, community events, gear sorting and inventory, helping with gear up, etc. There will be additional regular season activities as well such as events, game jersey distribution, ongoing gear sorting assistance, fundraising, game day announcer, etc.
